What we hold about you, and why

Written to be read. It says what we actually keep, what we do with it, and how to get it back or have it removed — and everything in it is something this site really does rather than a paragraph copied from somewhere else.

Who we are

BrightSide Property Care clean the outside of windows at homes in West Yorkshire. If you want to ask about anything on this page, email admin@brightsidewindows.co.uk or ring 01924 677023.

What we hold

Your name, your address, and how to reach you — an email address and a phone number, whichever you gave us. Which of those you would rather we used.

About the house: what kind it is, roughly how big, whether there is a conservatory, and any note about getting to the back — a gate code, a dog, where the tap is. That note is written for the person doing the work and is on their screen at your door.

About the work: when we came, when we are coming, what it cost, and what you paid. If something was not right and you told us, that is on the record too.

If you pay by card, we never see your card number. It is typed on Stripe's own page and they hand us back a reference. We hold the last four digits and the expiry so you can tell which card is on file.

Photographs, when the cleaner takes them — usually of something that needs pointing out. You can see your own in your account.

Why we hold it

To do the work you have asked for and to be paid for it. That is the whole of it. Reminders about your own visits, receipts and anything about a clean are part of the service and are sent either way.

Offers and news are separate, and only if you said yes. We record when you said it and what you were agreeing to, so if you ever ask “when did I sign up for these?” there is an answer. You can change your mind from your account or by replying to any of them.

Who else sees it

Nobody is sold anything. The only outside companies involved are the ones doing a job for us: Stripe take the card payments, Microsoft carry our email, and Ordnance Survey answer the address lookup when you type a postcode into the quote form. Each of them sees only what that job needs.

Facebook (Meta) — only if you accept advertising cookies. Your browser then tells Facebook which pages you opened on this site and, if you fill in a form, a scrambled copy of the name, email address and phone number you typed. Facebook uses those to work out whether you are somebody it already knows, so we can see whether our adverts bring anybody here. We send Facebook nothing from our own records: not your address, your visit history, your quotes, your cleans or your payments. Meta Platforms Ireland Limited is in Dublin and also holds the information in the United States. If you would rather none of this happened, choose “Essential only” on the banner, or press Cookie settings at any time to change your mind. Our cookie policy sets this out in full.

Google — only if you accept cookies. We use Google Tag Manager to load Google Analytics, which counts visits so we can see which parts of the site are used and where people give up on the quote form. Your browser tells Google which pages you opened, where you arrived from, and your IP address and browser. Analytics stores a random number in a cookie so it can tell a returning browser from a new one; it is not your name. We send Google nothing from our own records: not your address, your visit history, your quotes, your cleans or your payments, and nothing you type into a form. It is not used to show you adverts. Google Ireland Limited is in Dublin and also holds the information in the United States. If you would rather none of this happened, choose “Essential only” on the banner, or press Cookie settings at any time to change your mind. Our cookie policy sets this out in full.

How long we keep it

While you are a customer, and for as long afterwards as the law requires us to keep the accounts — six years for anything that is a record of money.

A few things go sooner because they do not need to be kept: the location of a cleaner during their working day is deleted after a short period, and the raw detail a payment processor sends us is blanked after ninety days.

Getting it back, or having it removed

From your account you can download everything we hold about you as a file, and you can ask us to erase it. Neither needs you to explain why, and neither depends on you agreeing to anything else.

When we erase, your name, address, contact details, access notes and the messages we have sent you are blanked. What stays is the money. Six years of accounting records is a legal duty nobody can consent away — but what is left is an amount, a date and a reference, with nothing on it to say whose it was.

You can also ask us to correct anything that is wrong, and you can complain to the Information Commissioner's Office if you think we have got this wrong and we have not put it right.

Cookies

The site sets what it needs to keep you signed in and to keep a form you are filling in. Anything beyond that — anything that measures or advertises — is only set if you accept it on the banner, and refusing changes nothing about the service.

See our cookie policy, which lists everything stored on your device and what each thing is for. Reading this site stores nothing; something is only stored once you start a quote, sign in, or answer the cookie banner.
